Bethelwoods Facility Rates for 2008

Overnight Accommodations
Bethelwoods can accommodate a total of 108 people in overnight lodging. All of the cabins listed below have electricity and two bathrooms. There is no charge for children three years of age and under. Pillows, blankets or linens are not provided (see linen charge). 

Retreat Cabins   floor plan   pictures
These four cabins each offer heated/air conditioned comfort for up to 16 people.  These handicapped-accessible buildings have a meeting room (that can accommodate groups up to 20) and a small front porch.  The sleeping facilities are two rooms that each have eight beds (four bunkbeds) and a bathroom.  The group will be charged for a minimum of eight adults for each retreat cabin reserved.  Use of an additional meeting room is not included in the price below, but they are available at a discounted rate to overnight groups who use the retreat cabins.

For the Churches of Providence and Charleston Atlantic Presbyteries
The rate is $20.00 per person for the first night ($15.00 for each additional night). 

For all other Non-profit and Private Groups
The rate is $25.00 per person for the first night ($20.00 for each additional night).  

Cabins   floor plan   pictures
These four, heated cabins each can accommodate up to 10 people.  The building can be split using a folding partition.  Each side has five single beds and a connecting bath.  The group will be charged for a minimum of six adults for each cabin reserved.  Use of an additional meeting room is not included in the price below, but they are available at a discounted rate to overnight groups who use the cabins.

The rate is $12.00 per person for the first night ($8.00 for each additional night).

For all other Non-profit and Private Groups
The rate is $17.00 per person for the first night ($13.00 for each additional night).

Covered Wagons   picture
The four covered wagons each accommodate four people. There is a nearby bath house and a picnic shelter for group use. Any group that reserves the wagons will be charged for a minimum of eight persons.

For all groups
$4.50 per person per night (with a maximum of 24 people)

Tents
We have a tent camping area with a nearby bath house and picnic shelter for group use. Any group that reserves the tent camping area will be charged for a minimum of ten persons.

Food Service

Carefully prepared meals are served family-style in the Main Lodge, which overlooks the lake. There is no charge for children three years of age and under. Special rates are available for snacks and meals catered in any of our meeting rooms. We also offer special options for banquets.  Groups that use Horton or Hopkins Lodge may prepare their own meals in the kitchens located in these buildings.  If you are interested in having Bethelwoods food at your next event, please consider our Pot Luck-To-Go catering options.

Meeting Room Facilities
Bethelwoods has meeting facilities for groups up to 250. The rental of all of these buildings (with the exception of the Picnic Shelter) includes complimentary coffee/hot tea service.

Horton Lodge   floor plan   pictures
This building has a stone fireplace and beautiful timber-frame construction. It has a large meeting space that can accommodate 250 people in chairs or 162 people in chairs around 18 round tables. Horton Lodge also has a kitchen, two bathrooms, two break-out meeting rooms (that hold 25 and 48 people in chairs), and a wrap-around porch (with rocking chairs).  A playground is located nearby.  Overnight groups who rent four or more cabins receive a $100 discount off the daily rental rate below.

The rate is $325.00 per day.

For all other Non-profit and Private Groups
The rate is $525.00 per day.

For all Corporate Groups and Weddings
The rate is $875.00 per day.

Main Lodge   floor plan   pictures
This building has a fireplace and overlooks the lake.  The Main Lodge, which includes the Main Lodge Meeting Room, seats up to 200 people and has two porches (one is open and one is covered and screened), two restrooms, a refrigerator, and an ice machine.  A volleyball net, horseshoe pits, the canoe dock, the outdoor chapel, and a playground are all located nearby.  Overnight groups who rent three or more cabins receive a $100 discount off the daily rental rate below.

 The rate is $235.00 per day.

Hopkins Lodge   floor plan   pictures
 This building has a fireplace and overlooks the lake. Hopkins Lodge seats 100 people in chairs or 72 people in chairs around eight round tables.  The lodge has a kitchen, two restrooms, and a covered porch (with rocking chairs).  Overnight groups who rent three or more cabins receive a $100 discount off the daily rental rate below.

The rate is $200.00 per day.

For all other Non-profit and Private Groups
The rate is $275.00 per day.

For all Corporate Groups and Weddings

This room is part of the Main Lodge, which has a fireplace and overlooks the lake.  It seats 80 people and has access to two porches (one is open and one is covered and screened), two restrooms, a refrigerator, and an ice machine.  A volleyball net, horseshoe pits, the canoe dock, the outdoor chapel, and a playground are all located nearby.  Overnight groups who rent two or more cabins receive a $100 discount off the daily rental rate below.

This shelter has a fireplace, sink, water fountain, two handicap-accessible restrooms, and picnic tables to accommodate 100 people.  A softball field, a volleyball net, horseshoe pits and a playground are all located nearby.

RESERVATION PROCEDURE

Reservations for the use of Bethelwoods are accepted on a first-come, first-served basis. Churches in Providence and Charleston Atlantic Presbyteries can make reservations for any date, while reservations from corporate and non-profit groups are accepted up to 11 months in advance.

Upon receiving your request for the use of Bethelwoods, a contract will be mailed to you. This contract must be completed and returned to the Bethelwoods office along with the full deposit within two weeks or the dates may be offered to another group. Upon receipt of the contract and deposit (within the two weeks) your reservation is confirmed.  The deposit will be applied to your final bill.

Groups using Bethelwoods food service are responsible for notifying our office two weeks prior to your event with the number of people that will be eating meals. Groups will be allowed 10% over/under this figure and charged accordingly.  If there are special dietary needs (diabetic, allergies, etc.), please let us know in advance. We will do our best to modify the menus accordingly.

CANCELLATION AND REFUND POLICIES

  Over 151 days

  full refund of deposit (less $40 processing fee)

  150 days or less

  no refund of deposit, unless another group books those facilities

 

 

 

Termination of this contract by Bethelwoods may take place at any time without liability to the guest group, should, in the sole opinion of the Bethelwoods staff, the facility be destroyed by fire or other cause, or be so damaged that the facility would be unusable; or the statutes, rules or regulations of any federal, state or local body impose undue requirements of hardship on Bethelwoods to continue its operation.  If this contract is terminated for these circumstances, Bethelwoods will have no obligation to the guest group, except for the return of their deposit (and any part of the balance which had already been paid).

USAGE POLICIES

There are very few restrictions of guests at Bethelwoods, but groups will be held responsible for observing the following below.  Bethelwoods reserves the right to remove from the facility anyone who does not abide by these rules.

RECREATIONAL FACILITIES AND EQUIPMENT
It is very common for there to be more than one group meeting at Bethelwoods at the same time. Guests are expected to share recreational facilities and equipment (and return when finished).

HEALTH CARE
Basic First Aid supplies are available in the office.  If an accident occurs, it needs to be reported to the Bethelwoods staff.  Insurance coverage is the responsibility of the guest and/or the sponsoring guest group.

QUIET TIME
Hours of rest for all guests and staff are essential.  From 11:00pm to 7am, all guests are asked to observe quiet hours.  Any exception to this must be negotiated in advance with the Bethelwoods office.

SMOKING
Smoking is prohibited inside any building at Bethelwoods.

ALCOHOL/DRUGS 
The use of alcoholic beverages and/or illegal drugs on the grounds or in buildings of Bethelwoods is prohibited.

FIREWORKS/FIREARMS
Possession of fireworks, firearms or weapons on the property is prohibited.

PETS
For the health and safety of all guests, pets are not permitted at Bethelwoods (except assistance animals).

DAMAGES
Accidents do happen, so please report them immediately to the host on duty.  Groups will be charged for damages based on material and labor cost for repairs and/or replacement.
